How to Replace Item Barcodes

The four methods for replacing barcodes include the Replace Barcode function in the Circulation menu, an Action in the Item Status screen, updating the barcode directly in the Holdings Editor, and from the Holdings View tab in the bibliographic record.


As part of a re-barcoding project, when the incorrect barcode was applied, or when a barcode has been damaged, staff may need to update an item's barcode in Evergreen. There are four methods for doing so:

  1. Replace Barcode function in the Circulation menu (recommended method)
  2. From the Item Status screen
  3. In the Holdings Editor
  4. From the Holdings View in the Bib Record

Replace Barcode Function

The easiest and recommended option for changing barcodes is to use the function available in the Circulation menu.

  1. From the Circulation menu, select Replace Barcode.
  2. Scan or manually input the current barcode.
  3. Scan or manually input the new barcode.
  4. Click Submit.

From the Item Status Screen

This option is useful when updating barcodes for multiple items. 

  1. Scan the barcodes for the items the need new barcodes OR upload a .CSV file of barcodes to be replaced.
  2. Select individual lines, or use the check box above the grid to select all items.
  3. Choose "Replace Barcodes" from the Edit section of the Actions menu.
  4. Enter the new barcode for the first item in the pop-up and click submit.
  5. The pop-up for the next item will appear immediately.
  6. Continue to update barcodes and click submit for each until all are complete.

From the Holdings Editor

This option is recommended if you need to make changes to other item attributes or the call number.

  1. Navigate to the Holdings tab in the Holdings Editor.
  2. Locate the "Barcode" field.
  3. Scan or manually enter the new barcode.
  4. Click Apply All & Save at the botton of the Editor.

From the Holdings View

This option is useful if you are already in the bib record and would like to change the barcode without leaving the record, or if you need to update the barcodes for multiple copies of the same title.

  1. In the bibliographic record, click on the Holdings View tab.
  2. Scope to your library.
  3. Click the carrot next to the call number to see all associated copies.
  4. Check the boxes of the copies to mark damage.
  5. Select Replace Barcodes from the Actions Menu.
